Our company was facing a major challenge with the way global event intake and triage, sourcing, contracts, execution, payments and reconciliation was taking place in the the event category. The process was outdated, time-consuming, and inefficient, with too many unintegrated tools leading to 400K inefficient administrative hours being spent annually across Global teams. This not only resulted in a significant waste of resources but also impacted the overall productivity across departments.

Solution

After careful analysis and evaluation, we decided to implement a new system that would automate the entire event process which in the industry is known as a Strategic Meeting Management Program.
We worked closely with our Engineering department to review current platforms and make a recommendation on buy vs. build. The end product would allow us to manage all aspects of event planning, from initial intake to post-event reporting.

The new system not only streamlined the entire process but also provided real-time data analytics, allowing us to make informed decisions about timelines, resources and spend. By automating many of the administrative tasks associated with event planning, we were able to reduce the number of administrative hours spent on these tasks across 15 teams by 400K annually.
