Our large organization had a built-in staff expense claim system in our cloud-based accounting software. However, using this built-in function costs the business £10.00 per employee per month, which can be very expensive for an organization of size 200 employees. Additionally, no automated notification could be generated, leading to delays and inefficiencies.

Solution

After months of testing and review, we successfully rolled out an automated process at the beginning of 2023 that has full control in-house and is completely free for our organization to use. We created this automated process from scratch, combining Microsoft Form (customized with VAT Receipt upload function and submission download or print in PDF function), an automated list to capture all expense submissions, and an automated notification that notifies the finance team when a submission is received.

This new process not only saves us money but also streamlines the staff expense claim process, reducing delays and increasing efficiency.
